What this helps you do
Turn on a referral program that rewards clients for sending you new business, set the reward on both sides, and track redemptions and top referrers from one room in your portal.
Before you start
- You need owner-level permissions. Team members can open the Referrals room, but the program and its numbers only load with an owner's access — anyone else sees a message that the program reads with the owner's key.
- Your business can only ever have one referral program. Once it exists, every change you make edits that same program rather than creating a new one.
Steps
Step 1: Open the Referrals room
In your portal, open REFERRALS in the navigation (grouped with Loyalty and Studio). If you land on an old settings-referrals link, it now redirects here — the program's settings live inside this room.
Step 2: Set the referrer's reward
Under Program Settings, select Edit. Under "GIVES — the referrer's reward," choose how the referring client is rewarded — Account credit, Fixed amount, or Percentage — and enter the value.
Step 3: Set the new client's discount
Under "GETS — the new client's discount," choose Account credit, Fixed amount, or Percentage, and enter what a new client receives off their first booking when they use a shared referral code.
Step 4: Set optional limits
Under "GUARDS — cost and fraud limits," you can optionally set:
- Minimum booking value — the new client's booking must reach this amount before the referral counts.
- Max referrals per client — caps how many rewarded referrals any one client can earn.
- Referral code expires (days) — how long a generated referral code stays valid.
Leave any of these blank to leave that limit off.
Step 5: Save the program
Select Save the program. The first time you save, the program goes live immediately — there's no separate "save as paused" option. After that, you can pause it again anytime by reopening the editor and turning off "RIDES — program is live," then saving.
Step 6: Know how clients get and share their link
Once the program is live, a client's referral code and share link appear on their Referrals tab on their own receipt — the page they land on after a payment, reachable from their emailed or texted receipt. From there they can copy their link or share it, along with a suggested message, directly to text, email, or social apps.
Step 7: Track redemptions and top referrers
Back in the Referrals room, check The Numbers for totals like redeemed referrals and codes issued out, and Who Brought Who for a ranked list of your top referrers.
What success looks like
- The Referrals room shows the program as Live, with the rewards you set for both sides.
- A new client who books using a shared referral code gets their discount, and the referring client's reward is issued automatically once that referred appointment is marked complete — not at the moment of booking.
- Redemptions and top referrers start showing up in the room as clients share their links.
Common problems
- A client says their referral code didn't work — A code fails if the new client already used a referral code at your business before, if they're trying to use their own code, if the booking doesn't meet the minimum booking value you set, if the code has expired, or if the referrer already hit the max-referrals limit you set.
- The referrer says they never got their reward — Rewards are issued once the referred client's appointment is marked complete, not when they book. Check that the appointment has actually been completed.
- I paused the program and want to know what happens to codes already shared — Pausing the program stops every one of its referral codes from being redeemed right away, not just new codes from going out. A new client trying to use a shared link will see that the program is currently paused.
- I don't see the program or its numbers when I open the Referrals room — This is owner-gated. If you're a team member without owner-level access, the room shows an honest message instead of data — ask an owner to set up or check the program.
